Should I use an AI receptionist, a human answering service or a missed call text back?

In short

Start with what the calls are. If most are simple (hours, prices, a callback number), a text back or saved replies may do the job. If callers need a conversation, a person is safer. An AI voice suits routine, after-hours calls when a human hand-off is set up. Keep a tally of your missed calls first.

Three different things get sold as the answer to a missed call, and they are not the same thing at different prices. Each does a different job, so the right one depends on what your callers actually want.

A text back sends a short message to a caller you could not answer, so they know you saw it and when you will ring. It can be a saved reply on your own phone for no cost, or a paid tool that does it for every missed call. It starts a conversation; it does not hold one. Whether it is worth it covers the free version.

A human answering service is a person who picks up, takes a message or answers set questions. It suits callers who need to be heard, and calls where a wrong answer is costly. Ask how the service charges (by the minute, by the call or a flat fee) and what a busy month would cost.

An AI receptionist answers in a synthetic voice, answers set questions from the facts you give it and passes the rest on. It suits routine calls, including after hours, and it is only as good as the facts and the hand-off rules behind it. What an AI receptionist does and where it stops goes through it, and whether customers mind the voice covers that worry.

Owners raise the same doubts again and again, and each points at a different choice. One video quotes an owner as saying “for the same money I can just hire a virtual assistant somewhere and then they can just handle the whole inquiries and I don't need AI” (10:22). A person is a fair option when calls are conversations. Another quotes an owner as saying “I don't answer the phone because most of them are just spam calls” (20:02). If that is you, a tally of real calls comes before any purchase. Both are quotes from recorded videos, not Three Fixes customers.

The test is the same for all three. For two weeks, tick a sheet for every call you miss and note whether it was routine (hours, price, where you are) or a conversation (a problem, a complaint, a complex job). Mostly routine points to a saved text or an AI voice. Mostly conversations points to a person. Mostly spam points to doing nothing new. Doing nothing new is a legitimate answer, and so is whatever you already use. Whatever you choose, ask what happens when the caller needs a human, and what month two costs. What an AI receptionist costs has the price examples.

A Three Fixes report looks at how your calls reach you and names the first step that fits, which is often the free one, with the words to use. You choose who does the work and what to buy.
