How do I follow up patients who never booked their treatment plan?
Pull a list of every treatment plan that was presented but never booked, oldest first, and have one named person work it on the same day each week. Send messages that say what the treatment is for, offer real times, and let the patient say not right now without feeling chased.
The patient sat in the chair, heard the plan, said they would think about it and book at the front. They did not. Nobody rang, because the book was full that day and the next, and before long the plan is a line in the software nobody looks at.
A patient who said they would think about it has not said no. They may be unsure about the cost, the timing, whether it can wait, or whether the fund will cover it. Each of those has a different answer, and silence answers none of them.
Start with the list. Your practice software keeps the plans you presented. Pull the ones that never turned into a booking, oldest first, with what each plan was for and when it was presented, and keep names off anything you paste anywhere else.
Then write the messages, and not one message for everyone. A patient a few weeks out gets a short, friendly note offering two real times. One who has gone quiet for many months gets a note that says plainly what the treatment is for and what waiting means, with no scare tactics and an easy way to say not right now. If you use a chatbot for the drafting, give it the list with no names and nothing that identifies anyone, and read every message before it goes.
When cost is the reason, make the money part easy to answer. If the plan needs a health fund pre-approval, track it on one sheet: what went to the fund, when, and what came back. A family who thinks they are approved when they are not is waiting on nothing, and one who is approved may not know it yet.
Last, give the list an owner. One named person at the front desk works it for an hour on the same day each week and marks what came back. A list that belongs to everyone belongs to nobody.
A Three Fixes report looks at how plans move from the chair to the appointment book in your practice and writes the steps and the words to give a chatbot for the messages, the order to work the list in, and the pre-approval sheet, for the software you already use.
