How do I cut down on no-shows at my dental clinic?

In short

Send a reminder the day or two before that asks the patient to confirm, and keep a short list of patients happy to come in at short notice. The reminder cuts the forgetting, and the list turns the cancellations you still get into a filled chair instead of an empty hour.

An empty chair with a nurse beside it is the most visible cost in a practice, and most of it is not people who meant to stay away. It is people who forgot, double booked themselves, or meant to ring and cancel and never did. Those are different from a patient who has decided not to come, and they respond to different things.

Forgetting responds to a reminder. Most practice software already sends one, but the useful version asks for a reply: confirm, or reply to move it. A reply turns a silent no-show into a cancellation you hear about while there is still time to fill the gap. Worded in the practice's own voice, with the time, the dentist and what the visit is for, it reads as care rather than admin.

The gap is the second half. Most practices already have an informal list of patients who said ring me if something comes up, but it lives on a sticky note or in one receptionist's head and goes home with them. Putting it into the waiting list in your practice software, with what each patient needs and when they can actually come, means a cancellation can be offered to someone on the list straight away.

A saved message for that moment helps too: a short text offering the slot to the first few people on the list, first to reply gets it. Nobody has to make a round of phone calls while the next patient is waiting at the desk.

Then look at who keeps missing. If the same names come up again and again, they are worth a personal call rather than another automatic text, because a conversation finds out whether it is cost, nerves or timing that keeps them away, and each of those has a different answer.

A Three Fixes report looks at how appointments, reminders and cancellations move through your practice today and writes the reminder wording and the waiting list steps for the software you already use.
