Where does my customers' information actually go when I use an AI tool?

In short

Wherever the tool runs, which is usually someone else's servers, so the question deserves a straight answer. Ask where the data is stored, whether it trains anyone's models, and who can see it.

Business grade AI accounts do not train on your data by default, but free consumer accounts often can, and that difference matters more than most small business owners realise when they start typing customer details into a free chat tool to save time.

Until you have a straight answer to those three questions in writing, keep medical, financial and personal details out of any AI tool you have not checked. A provider who cannot answer plainly has answered the question a different way.

This matters most in clinics, dental practices and legal work, where the information is more sensitive than a name and a phone number, and the cost of it landing somewhere it should not is much higher than an awkward conversation.

A simple habit that protects you either way: decide, before any AI tool goes near a customer, exactly which details it is allowed to see and which stay with a person. Most businesses do not need a full policy document for this, they need one clear line written down and followed.

It is worth revisiting that line every so often as you add new tools, rather than setting it once and forgetting it. Each new subscription or integration is another place customer information could end up, and each one deserves the same three questions.

None of this needs to slow you down. Most reputable providers answer these questions in a sentence or two, in writing, and the ones who cannot are telling you something worth hearing before you hand over a single customer record.

A privacy policy that nobody reads is not the same thing as a protection that actually works, so treat the written answer as a starting point and the actual behaviour of the tool, watched for a few weeks, as the real test.

A Three Fixes report is written from what you tell us about your week, held to the same standard: what is collected, who reads it, and how it can be deleted, set out plainly on our own privacy page.
