How do I stop the BAS deadline scramble every quarter?
Put every client's lodgement dates on one shared calendar with the paperwork chase set weeks earlier, so the request goes out before the panic does. The dates are known a year ahead: quarterly BAS is due 28 October, 28 February, 28 April and 28 July, so every chase can be booked now.
Every quarter has the same shape. Most clients send nothing until the last week, everything lands at once, and the nights before lodgement go on finding out who has not sent what. The lodging itself takes the same time either way. What eats the quarter is discovering, late, that the paperwork is missing.
The dates are the one part of this job that never surprises anyone. The Australian Taxation Office publishes them: quarterly BAS is due on 28 October, 28 February, 28 April and 28 July, and lodging online or through a registered tax or BAS agent can bring extra time for some quarters. That means every chase for the whole year can be booked today.
Make one calendar the whole practice can see and put every client's lodgement date on it. Then put the first request for paperwork weeks before each date, and a second, firmer one after that. The deadline stops being the first time anyone thinks about that client, and a junior can pick a client up without asking you first.
The request itself matters as much as the timing. A message that lists exactly what is missing for that client, rather than a general please send your documents, gets a faster answer, because the client knows what to look for. Write that request once for each kind of client and reuse it every quarter.
After a quarter or two it also shows you which clients are late no matter how early you ask. That is a smaller group, worth a phone call or a straight conversation about whether the arrangement still works for both of you.
A Three Fixes report looks at how a quarter goes in your practice today and writes the calendar steps and the request wording for your own client list, so the chase starts weeks out instead of in the last few days.
